PolyDASHER Privacy and Security Guidelines
Policies and Procedures
By requesting a password from us, all participants agree to the following:
A. Data Ownership and Use:
All PolyDASHER participants agree to comply with the following:
1. Ownership of data:
a. Each participating institution retains the rights to its own data. PolyDASHER has no rights to data produced for consortium research.
2. Use of data:
a. Information created through PolyDASHER is primarily for internal institutional use. However, institutions may use data for accreditation purposes also.
3. Other data use
a. Information created through PolyDASHER is primarily for internal institutional use. However, institutions may use data for accreditation purposes also.
b. Data being used must not be seen as damaging to any other member.
4. Confidentiality:
a. PolyDASHER members will hold as confidential any/all data belonging to any other member.
b. Each member will adhere to the information set forth in this document as a minimum, and may enact stronger safeguards if they see fit.
c. Each member will follow FERPA provisions regarding student record privacy.
d. These guidelines will survive termination and/or expiration of the PolyDASHER agreement.
e. All data transmitted to and received from the PolyDASHER server is maintained in a secure manner to protect the privacy and security of the data. This includes but is not limited to processing, storing and transmitting data.
B. Identifying Information:
1. There are no personal identifiers on any data sent to or stored on the PolyDASHER server. No names, addresses, Social Security numbers, or student ID numbers are transmitted or stored by PolyDASHER.
C. Access to data
1. Access to PolyDASHER data is by User ID and password. In the registration process, a primary contact from each institution to receive access is identified and access given. Further access to data at the institution level is granted by the primary contact for each institution by sharing the institution’s User ID and password.
